Actions
Actions are an important feature of DesignSmart.
You can view a list of the available actions by clicking on the Actions pull-down on the Items List View(s) or the Item Detail View, as shown below.

Each design firm can have its own list of available actions. If you need an action added to your pull-down list, please contact your Smart Designer project manager.
To learn how to use Actions, read the section How Item Actions Work.
List of Standard Item Actions
Below is a list of the standard actions. Only the ones your firm needs will be shown in your version of DesignSmart.
Action | What it will do |
---|---|
Proposal | This will display a preview of the proposal. |
Flag to Order |
Will toggle a flag icon for the item in the PO column on the Items List View. Designers can flag items when they are confident that all of the details for the item are correct and that the item is ready to be ordered. Items that are flagged to order will also trigger a shopping cart icon to appear on the Active Project Status view. This informs the person who issues POs that there are items ready to be ordered for this project. |
Flag to Invoice |
Will toggle a flag icon for the item in the invoice column on the Items List View. Designers can flag items when they are ready to be invoiced. Items that are flagged to invoice will also trigger an invoice icon to appear on the Active Project Status view. |
Create Invoice | This will display a preview of the invoice. |
Create PO | This will display a preview of the PO. |
Generate Specs | This will display the Generate Specs window where you can determine what to generate. |
Create Pick List | This will display a preview of the Pick List, which is a report sent to a warehouse that lists the items that need to be picked and shipped to a specific location for installation. |
Copy Item(s) | This will display a window that allows you to copy item(s) to the same project or a different project. |
Delete Item or Delete Spec |
This will allow you to delete an item that has not been put on an invoice or a PO. Best Practice: Generally it is better to exclude items rather than delete them. Excluding items is faster and if things change and you need the item again, you can un-exclude it. |
Issue Specifications | Click to set the Issue Date and status for the selected item(s). (Only included for firms that use the optional hospitality module.) |
Reissue Specifications | Click to set the Reissue Date and status for the selected item(s). (Only included for firms that use the optional hospitality module.) |
Modify Room List | This will bring up a window where you can add additional rooms and areas to the project. This saves you from having to go to the Room Tab on the Project Detail View to add rooms or areas. |
Set Projected Invoice Date | This will allow you to enter a date when you expect to invoice the items. |
Assign Status | Change the status of multiple items at once. |
Set Status to Exclude | Change selected items to exclude. |
Assign Distribution Method | Change selected items to Distribution or Manual. |
Update Vendor | Change the vendor of selected items. |
Add to Existing Proposal | Add selected items to an existing proposal. |
